Edit multiple tasks

Bulk actions

To edit multiple tasks, select the tasks in the left-hand panel by holding Ctrl or Shift while clicking the tasks you want to edit.

When you select multiple tasks, the Bulk actions panel opens on the left.

  • In the Table editor, selecting a single task is enough to display the Bulk actions panel. (read more about table editor here).

  • In the Gantt view, you must select at least two tasks before the Bulk actions panel is displayed.

Available bulk actions

The following bulk actions are available. Actions marked with * are also available in Cross-project.

  • Add assignees*

    Add one or more assignees to all selected tasks. The new assignees are added without removing any existing assignees.

  • Replace assignees*

    Replace all existing assignees on the selected tasks with the new assignees.

  • Remove assignees*

    Remove all assignees from the selected tasks.

Note: Replacing or removing assignees only affects the selected tasks. The users remain members of the project. To remove users from the project, go to the People tab and remove them there.

  • Update progress*

    Update the progress of multiple tasks at once. You can:

    • Set all selected tasks to the same completion percentage.

    • Mark tasks as Delayed, In Progress, or Completed.

    • Mark milestones as Completed.

Note: If you select both tasks and milestones, progress updates only apply to the tasks.

  • Shift*

    Move the selected tasks forward or backward by the same number of days.

    • Enter a negative value (for example, -5) to move tasks earlier.

    • Enter a positive value to move tasks later.

Note: Moving a task that uses Automatic scheduling may change it to Manual scheduling if its predecessor is not included in the selection. If your schedule primarily uses Automatic scheduling, it is usually better to move only the first task, allowing all dependent tasks to move automatically.

  • Set start date

    Assign the same start date to all selected tasks.

  • Set end date

    Assign the same end date to all selected tasks.

Tasks using Automatic scheduling continue to follow their predecessor relationships and may not use the selected start or end date.

  • Change scheduling mode (read more here)

    Switch the selected tasks between Automatic and Manual scheduling.

  • Change working week (read more here)

    Change the working week for all selected tasks.

  • Add tags (read more here)

    Add the same tags to all selected tasks. Existing tags are preserved.

  • Remove tags

    Remove selected tags from all chosen tasks. Any remaining tags stay on the tasks.

  • Duplicate (read more here)

    Create copies of the selected tasks.

    You can choose whether to duplicate:

    • Assignees

    • Start and end dates (otherwise the first duplicated task starts on today's date)

    • Working week (otherwise the default Monday–Friday working week is used)

    • Description

    • Tags

    • Custom units

Your duplication settings are remembered for future use.

You can also use the keyboard shortcut Ctrl + D to duplicate tasks.

The duplicated tasks are inserted immediately below the last selected task.

  • Convert to task or milestone

    Convert the selected tasks to milestones or milestones to tasks.

Note: When converting a task to a milestone, its duration is changed to one day.

  • Sign Off*

    Choose whether to sign off:

    • all selected tasks, or

    • only the completed tasks

  • Report a problem

    Add the same problem, including text and attachments, to all selected tasks and milestones.

Note: Tasks that have already been signed off are ignored.

  • Delete

    Delete all selected tasks.
