Calculate the project's actual and expected progress

This article explains how actual and expected progress are calculated in Geniebelt, and where you can view these values throughout the platform.

You can view your project's progress in the following locations:

  • Project dashboard – displayed beneath the project title. If the project title is too long, hover over it to view the progress percentages.

  • Project Overview – open a project and select the Overview tab to see the project's status panel.

How actual progress is calculated

Actual progress represents the percentage of the project that has been completed.

Actual progress is based on the total number of working days across all tasks. Non-working days are excluded from all calculations.

Step 1: Calculate the total number of working days

The duration of every task is added together to determine the project's total number of working days.

Example

If a project contains three tasks, each with a duration of four working days:

  • Task 1: 4 days

  • Task 2: 4 days

  • Task 3: 4 days

Total working days = 12

Step 2: Calculate completed working days

The reported completion percentage of each task is converted into completed working days. These values are then added together.

Example

A task with:

  • Duration: 4 working days

  • Actual Progress: 50%

Total completed working days = 2

Step 3: Calculate actual progress

Actual progress is calculated using the following formula:

Actual progress = (Completed working days / Total working days) x 100

How expected progress is calculated

Expected Progress represents how much of the project should be completed by today's date according to the project schedule.

Step 1: Calculate the expected completed working days

For each task, Geniebelt calculates what percentage of the task should be complete based on today's date. This percentage is then converted into the corresponding number of expected completed working days.

  • If the task has not yet started, the expected progress is 0%.

  • If today's date falls within the task duration, the expected progress is based on the elapsed working days.

  • If the task's end date has passed, the expected progress is 100%.

Example

A task with 4 working days and today's date is day 2 of the task:

  • Expected Progress: 50%

  • Expected completed working days: 2

The expected completed working days from all tasks are then added together.

Step 2: Calculate expected progress

Expected progress is calculated using the following formula:

Expected progress = (Expected completed working days / Total working days) x 100

The coloured progress bar below the project image provides a visual representation of the project's progress:

  • Coloured section – the project's actual progress.

    In Progress (green) - when reported progress is higher than or equal to planned progress of the project.

    Delayed (organge) - when the reported progress is lower than planned, but the end date of the project is still in the future.

    Overdue (red) - when the project's end date has passed and it is not completed.

    Completed (blue) - when all the tasks are reported as completed.

  • Dark grey section – the project's expected progress.

  • Light grey section - part of the project that is in the future and no progress is reported.

Please note that Milestones are not calculated into the percentage for the progression.
